EXHIBITORS GUIDE TO HEALTH & SAFETY AT THE NORTHLAND FIELD DAYS

As an exhibitor it is your responsibility to provide a Health & Safety Risk Management Plan for the set up and pack down as well as the duration of the Northland Field Days. Please read all the information below and provide the Northland Field Days committee with any relevant information that we require.

Your Responsibilities

It is your responsibility to ensure the Health & Safety and Welfare of all employees (including contractors that you hired to set up and pack down your site) plus any other people not directly employed by you (event attendees or other exhibitors) who may be affected by your actions.

It is also your responsibility as an exhibitor to supply the Northland Field Days with a Risk Assessment Plan documenting all the risks and hazards on your site i.e. chemicals on site, moving machinery, holes, power tool demonstration, etc… and your steps to ensure the Health & Safety requirements are being met.

Please take the time to read all the Health & Safety requirements, download and fill out any required forms.

Exhibitors at the Northland Field Days go into 3 different categories:

Low Risk

A site with no moving machinery/walls/floors/holes. All you might have is a display which is secure to the ground with a table and some chairs

Medium Risk

A more interactive site with displays/walls/flooring/demonstrations tools/sharp objects/etc. You will also be medium risk if you are having catering on site and require gas bottles. You must ensure that you let us know if any are on site.

High Risk

This will be an interactive site where you have more displays and demonstrations, this might include moving parts and machinery/holes/mounts/lots of electrical machinery/sharp objects and/or chemicals

COMMON RISKS TO CONSIDER

Use this as a guide to know if you need to create a Risk Assessment for your site. If you answer yes to any of these questions, a Risk Assessment will help you minimise the risk.

GENERAL

  • Will you have any rubbish during set up/pack down and the show?
  • Will you have anyone else on your stand?
  • Will you have anything to unload at the show?
  • Will you have high displays?

CONSTRUCTION

  • Are you building a raised floor on your stand?
  • Will you have any steps or stairs?
  • Will you be using ladders or scaffolding to build your stand?
  • Will you use a forklift/scissorlift to build, load or unload?
  • Will you be using any powertools?

SITE OPERATION

  • Do you have any displays that require power?
  • Do you have any Radioactive products?
  • Do you have any machinery that will move as a demonstration?
  • Are you catering?
  • Do you have a water feature?
  • Do you have any entertainers on your stand?

FIRE RISK & ELECTRICAL SAFETY

  • Are you having an electrician doing any work on your stand?
  • Do you have any equipment that requires a power connection?
  • Are the tag and test on your power leads up to date?

HAZARDOUS SUBSTANCES

  • Will you have any hazardous substances on site?
  • Will you have any agri-chemicals on your site?
  • Will you have gas bottles on your site?
  • Will you be storing any type of fuel on your site?

HOSPITALITY

  • Do you have caterers on site?
  • Are you providing food?
  • Are you serving alcohol to clients?

RISK ASSESMENTS

This is the most effective way of documenting, assessing and controlling risks.

If you are using a contractor to set up your stand, you need to ask them to send you their risk assessment. If you are setting up and packing down yourself with employees, you must consider those and create your risk assessment yourself.

You must do a risk assessment for your site during the event.
